Build helpful FAQs

Useful FAQs give your agent an approved answer to a real caller question. They should be easy to say aloud, accurate without extra context, and clear about anything your team must confirm.

Create FAQs from questions your team repeatedly receives, such as:

  • Which areas do you serve?
  • Do you offer a particular service?
  • What should a new customer prepare?
  • How does an estimate or consultation work?
  • What are your normal response times?

Do not create dozens of speculative entries. Start with the ten or fifteen questions that remove the most friction, test them, and expand from real call patterns.

Lead with the direct answer, then add the smallest useful qualification or next step.

There are a number of factors that may affect whether we are able to help.

Stronger:

We serve residential customers throughout Lake County. For addresses near the county line, our team can confirm coverage after collecting the service address.

The stronger version answers the question, states the boundary, and gives a safe next step.

Separate pricing, availability, service area, and preparation instructions into different entries. A focused answer is easier to retrieve and easier for a caller to understand.

Include important alternate wording in the question naturally. For example, a single entry about “cost,” “price,” and “estimate” can help with common variations without repeating three contradictory answers.

  • Use exact facts only when they are current and approved.
  • Use ranges only when the range is genuinely supported.
  • Say when final pricing, eligibility, timing, or availability requires team confirmation.
  • Include the next action the caller can take.
  • Remove expired promotions and seasonal details promptly.

Never add passwords, private customer information, payment details, private account numbers, confidential procedures, or material you would not say to an unknown caller.

An FAQ can explain how booking, qualification, handoff, or message taking works for your business. It should not be used to turn those features on or define their sequence. Configure actions in the relevant Agent Center sections.

After saving, ask each important question at least three ways:

  1. the wording used in the FAQ;
  2. a short conversational version;
  3. an indirect or incomplete version.

Confirm that the answer is accurate, concise, and does not blend in unrelated information. If it misses, make the question more representative or split an overloaded answer. Do not add repeated copies of the same fact.
