Qualification entry methods and semantic triggers
Entry methods control when your agent begins the structured qualification flow. They make it possible to qualify expected campaign callers immediately while leaving ordinary callers in normal reception until qualification becomes relevant.
More enabled methods create more ways to enter the same qualification flow; they do not create separate sets of criteria. Begin with the narrowest useful method and add another only after testing calls that should and should not enter.
Qualification entry methods compared
Section titled “Qualification entry methods compared”| Configuration | Best use | Caller experience |
|---|---|---|
| Start after the greeting only | A campaign, program, service line, or number where most callers are expected to follow one screening path | A clear affirmative to one targeted greeting question begins criterion one immediately. |
| Caller asks to qualify only | Qualification is optional and callers know to request screening, eligibility, or prequalification | Normal reception continues until the caller directly asks to qualify. |
| Caller mentions one of your topics only | Several services share a line, but only specific needs require screening | Normal reception continues until the caller clearly expresses a configured topic. |
| Greeting plus semantic entry | The expected caller should enter immediately, while later direct requests or matching topics should still be recognized | An affirmative can enter at the greeting; a nonaffirmative can remain in reception and enter later through another enabled method. |
| Qualification off | Normal reception is sufficient | No qualification entry method or criterion runs. |
Any enabled method can begin the same flow. After entry, the same criteria, pass rules, result, and outcome order apply.
Start qualification after a greeting affirmation
Section titled “Start qualification after a greeting affirmation”Use Start after the greeting with one clear yes-or-no question when a number, campaign, service, or program is intended to send matching callers directly into qualification.
Hi, this is Alex with Northwind Mortgage. Are you calling about the low-down-payment homebuyer program?
A clear affirmative can move directly into the first configured criterion. A clear negative or intelligible nonaffirmative response does not become a qualification answer and continues through normal reception.
Ordinary business questions, unrelated requests, social or capability questions, and uncertain responses should not be treated as affirmative entry. The greeting question makes an entry decision; it is not criterion one. Do not repeat the same question as the greeting and the first criterion.
Use one decision in the greeting. Do not place several screening questions or the entire qualification script in the opening. See Write a clear greeting for templates and Start qualification from your greeting for complete recipes.
Start qualification from a direct caller request
Section titled “Start qualification from a direct caller request”Qualification starts when the caller directly asks to be qualified or screened.
Use this when qualification is an optional service and callers know to request it.
Examples that should enter include “Can you prequalify me?”, “I want to see whether I’m eligible,” and “Can we go through the screening questions?” A normal request that happens to contain a related word should remain in reception unless the caller is clearly asking to qualify.
Start qualification from semantic topic triggers
Section titled “Start qualification from semantic topic triggers”Caller mentions one of your topics is semantic qualification entry. Qualification begins when the caller clearly expresses the configured service, program, or need.
Example phrases teach the intended meaning. They are not regular expressions, scripts that callers must repeat word for word, or additional criteria. A natural paraphrase can match when it clearly expresses the same configured purpose.
Current topic controls support:
- up to 12 topic groups;
- up to eight example phrases in each group;
- literal phrases of 80 characters or fewer;
- unique topic labels and phrases; and
- at least one topic group when topic entry is enabled.
Regex syntax is not accepted. Use natural, specific phrases and avoid broad words that commonly appear in unrelated calls. See Route qualification by topic for examples and a full test matrix.
Combine greeting and semantic qualification entry
Section titled “Combine greeting and semantic qualification entry”Greeting entry and semantic entry are especially useful together:
- A targeted greeting catches the expected campaign or program caller immediately.
- A nonaffirmative greeting response continues through normal reception.
- A later direct qualification request or matching topic can still begin qualification.
- Every legal entry path converges on the same first criterion and outcome configuration.
For example, a caller may say no to a mortgage-program greeting because they first want office hours. The agent can answer that ordinary question in normal reception. If the caller later asks about the configured homebuyer program, topic entry can begin the same qualification flow at that point.
Prevent accidental semantic qualification entry
Section titled “Prevent accidental semantic qualification entry”- Start with one entry method.
- Use specific topic phrases.
- Test an exact phrase, a natural paraphrase, a near match, and a false positive.
- Keep the greeting question separate from criterion one.
- Enable greeting and topic entry together only when both paths are intentional.
Words such as “help,” “information,” “price,” “program,” or “loan” are usually too broad on their own. Prefer phrases that express a complete service or need.
Test qualification entry separately from criteria and outcomes
Section titled “Test qualification entry separately from criteria and outcomes”First confirm that the intended phrase starts qualification. Then test the criteria and outcome. If you change entry phrases and criteria at the same time, it becomes harder to tell whether a failed test was caused by entry or by the answer path.
Test greeting affirmative, greeting negative, uncertain, silence, unrelated, ordinary business, and assistant-directed social or capability cases. Then test exact topic wording, paraphrases, related but unsupported requests, and broad shared words. Use a new test after each saved change.
